Gateway Fee

Also called payment gateway fee, gateway monthly, virtual terminal fee

What you pay for the software that transmits card data from your website or virtual terminal to the processor. Usually a monthly fee plus per-transaction.

What it is

A payment gateway is the software layer between your checkout, virtual terminal or invoicing tool and the processor. It handles the authorization request, tokenization, stored card credentials, recurring billing, hosted payment pages and fraud rules. NMI, Authorize.net, Sola (formerly Cardknox) and Fortis are the main independent options in 2026; most other names have been absorbed - USAePay into NMI, Payrix into Worldpay for Platforms. Merchant-facing gateway pricing is reported around $10-$30 a month plus $0.10-$0.13 per transaction, with additional modules priced separately: tokenization vault at $5-$10 a month, fraud screening like Kount at $25-$35 a month, Level III enablement at $10-$20 a month plus setup, electronic invoicing at $15-$30 a month, recurring billing at $10-$20 a month. Gateway economics differ from processing economics in an important way. Reseller cost is estimated at roughly $5-$10 per MID plus $0.03-$0.05 per transaction - those are triangulated industry estimates, not published figures - which means the gross margin on a gateway is high. This is why so many processors push gateway bundles, and also why an honest one will tell you when you do not need one at all. A card-present-only restaurant on an integrated POS generally does not need a standalone gateway. The strategic point most merchants miss: the gateway, not the processor, is where switching cost lives. A processor-agnostic gateway with 150+ processor connections lets you change processors without re-integrating your website, your recurring billing or your stored cards. A processor-locked gateway means changing processors means rebuilding.

Why it matters to your business

As an illustration, a $25 monthly gateway with $0.10 per transaction on 1,000 transactions is $125 a month, $1,500 a year. That's worth it if it's driving invoicing, recurring billing, Level 3 data or decline recovery. It's pure waste if you're a walk-in restaurant with an integrated POS that already includes it. The portability question is worth more than the fee. If your customer card tokens are stuck in a processor-owned vault, your ability to ever renegotiate anything is structurally limited - and your processor knows it.

Where it gets contested

Two things to watch, and neither is the monthly fee. First, gateway lock-in. Legacy processors and PayFac platforms can trap merchants with token export fees and non-solicit clauses - meaning your stored customer card credentials, which you collected, are expensive or impossible to take with you. For a recurring-billing business, that can be the difference between switching processors in a week and never switching at all. Ask about token portability before you have a reason to. Second, double-charging. Plenty of merchants pay a gateway fee to their processor and a separate gateway or platform fee inside their POS or e-commerce plugin, for overlapping functionality. And plenty pay for modules they don't use - a $29 fraud package on a card-present-only account, a recurring billing module on a business with no subscriptions. The under-discussed positive: the gateway is often the best value on the statement. Level III enablement at $10-$20 a month can save a B2B merchant hundreds. For example, a recurring billing and card-updater setup at $60-$100 a month replaces platforms costing $249 a month plus 0.9% of billing volume. Judge a gateway line by what it earns you, not by what it costs.

How to check it yourself

List every gateway, platform and module fee across your processor statement and your POS or website bill, and check for overlap. Then ask one question in writing: 'If I move processors, can I export my customer tokens, and what does that cost?' The answer tells you how much leverage you actually have.
