Recurring Billing

Also called subscription billing, auto-pay, membership billing, card on file billing

Charging a stored payment method on a schedule. The most valuable thing a local business can add, and the most commonly overbought.

What it is

Recurring billing charges a customer's stored card or bank account automatically on a schedule — monthly membership, quarterly service, annual dues. It requires a tokenized card on file, a schedule, a retry policy for failures, and a record of authorization. It's the operating model behind gyms, HOA dues rolls, pest and lawn routes, marina slips, pool service, med spa memberships, dental plans and service contracts — which is to say, an enormous share of the Southwest Florida service economy. The tooling ranges from included to expensive. Dedicated subscription platforms price at real money: Stripe Billing at 0.7% of billing volume pay-as-you-go or $620/month at up to $100K, Recurly at $249/month plus 0.9% with the first $40K free, Chargebee at 0.80% pay-as-you-go or $424/month plus 0.65%. Meanwhile most full-featured payment gateways include recurring billing, a customer vault, network tokens and an automatic card updater in the base subscription. A merchant billing $150,000 a month on Recurly pays roughly $1,239 monthly; the same billing on gateway-native recurring is typically a fraction of that.

Why it matters to your business

Recurring revenue is the highest-value thing most local service businesses can add, and it usually doesn't require new software — just turning on what your gateway already includes. Before you buy a subscription platform, find out what you already own. And once you're billing recurring, involuntary declines become your biggest silent loss. Network tokens and the automatic account updater keep cards alive through reissue, and those are typically included in the same gateway subscription. Enabling them is a configuration change, not a purchase.

Where it gets contested

The overbuying problem is the honest story here. Dedicated subscription platforms are excellent products built for software companies that need revenue recognition, complex proration, plan migrations, entitlement management and analytics. A pest control route with 400 customers on a flat monthly charge needs approximately none of that, and pays for all of it. What you genuinely lose by using gateway-native recurring is reporting depth, revenue recognition and dunning sophistication. Those matter enormously to a SaaS business and rarely to a lawn service. The right question is what you actually need, not which product is better. The second issue is consumer-protection risk. Recurring billing programs that make cancellation hard have drawn sustained regulatory attention, and the reputational cost in a small local market is worse than the regulatory one. If your customers have to call during business hours and talk to a retention script to cancel a $49 membership, you're building a complaint pipeline in a town where people talk to each other. The third is authorization hygiene: for card-on-file recurring, you need the customer's agreement documented with amount, frequency and start date, and you need to be able to produce it.

How to check it yourself

Ask your gateway whether recurring billing, the customer vault, network tokens and the automatic account updater are included in your current subscription. Then compare that to what you're paying any separate billing platform. Also test your own cancellation flow — try to cancel a membership as a customer and see how it feels.
