Dealer Genie

Dealership payments that reconcile against ROs and the DMS.

  • Automotive

An independent assessment. Vigilant can place Dealer Genie, and is paid the same either way — which is why the drawbacks are on this page too.

What it is

Car dealerships have a payments problem that no general merchant account addresses. Money arrives at the service lane, the parts counter, the F&B desk and the front office; it has to reconcile against repair orders and the DMS; and the controller spends real time each month matching batches to deposits across departments.

Dealer Genie is built on the ACES automotive division — 500+ dealers nationwide, staff with 30+ years in the vertical — and it targets exactly that. Pay-at-the-lane, service appointment management, integrated DMS solutions, working capital programmes, and reconciliation tooling that lets the office match batches and deposits and track ROs and invoices without exporting to a spreadsheet.

Processing sits on TSYS and Fiserv with lifetime rate programmes and 24/7/365 support.

Who it fits

Best for

Franchise and independent dealerships, service drives and multi-department stores where reconciliation across departments is the real cost.

Probably not ideal for

Independent repair shops without a DMS — a terminal plus Hyfin will serve you better and cost less.

Strengths and tradeoffs

Strengths

  • Built around how a dealership actually takes money — deposits, down payments, part payments and title-related fees.
  • Handles the awkward middle of a deal, where a customer pays across several instruments and days.
  • Reduces the card-not-present risk on remote deposits, which is where dealers get burned.
  • Reconciliation that lines up with the deal jacket rather than just a batch total.
  • Placed with acquirers that understand the vertical, so accounts do not get closed for looking unusual.

Tradeoffs

  • Dealership-specific; useless to any other business.
  • Not a DMS — it handles payments, not inventory, F&I or the deal itself.
  • Smaller vendor with a narrow ecosystem.
  • Integration with your existing DMS needs checking before you commit.
  • A very small lot may find a general terminal and careful process sufficient.

Pricing

Programme pricing with lifetime rate options. Get the guarantee in the agreement.

Pricing reflects what the vendor publishes or what we have seen quoted. Your actual terms depend on volume, card mix and what is negotiated — which is the part we do.

Vigilant's assessment

Dealerships get sold generic processing constantly and then discover that deposits, split tenders and remote payments do not reconcile cleanly. This is built for that, and the underwriting understands the trade — which matters more than the rate when an account gets frozen mid-month.

How it compares

Dealer Genie sits on top of the DMS, so the comparison is with the other payment layers that write back to it — not with CDK or Reynolds, which are the systems all of these integrate with rather than compete against.

Verdict. Every one of these lives or dies on whether it writes back to the DMS you actually run, and CDK and Reynolds still run most franchise stores. Ask for the integration in writing against your DMS by name before anything else — a payments product that cannot close the loop to the repair order is just a terminal with a nicer screen. If your problem is customers not answering the phone rather than reconciliation, Kimoby is solving a different thing and we cannot place it.
