An independent assessment. Vigilant can place Hyfin, and is paid the same either way — which is why the drawbacks are on this page too.

What it is

Hyfin solves the problem most service businesses actually have, which is not the rate — it is that the money arrives 28 days late. Invoices go out by email, text or WhatsApp with a pay link or QR code, reminders send themselves, late fees and early-payment discounts apply automatically, and customers can store a card or pay in installments. Hyfin's own figure is that 85% of invoices sent through it are paid within 24 hours, against an industry norm around 28 days.

The two-way QuickBooks Online sync is what makes it stick. Invoices, payments and customer records update in both systems, so nobody re-keys anything and reconciliation stops being a Friday afternoon.

The second half is dual pricing: customers see a card price and a lower cash or ACH price, and the processing cost moves off your P&L. Hyfin publishes savings estimates by revenue band — the sort of number that only holds if the programme is set up properly, which is why we will not do it casually.

Hyfin ships vertical one-pagers for attorneys, dentists, accountants, HVAC, plumbers, electricians, painters, landscapers, fire protection, auto dealerships, auto mechanics and B2B — same platform, different framing.

Who it fits

Best for

Any business that invoices and waits. Trades, professional practices, B2B suppliers, and anyone whose receivables ageing report is the real problem.

Probably not ideal for

Retail and restaurants taking payment at the point of sale. There is nothing to automate if the customer already paid at the counter.

Key capabilities

Smart invoicing
Installments, automated reminders, late fees and early-payment discounts applied without anyone chasing.
Text to pay
Payment requests by text, email or WhatsApp, paid from a phone in seconds.
Payment links and QR
Shareable links and codes with no checkout page to build.
Recurring and card on file
Subscriptions and stored payment methods from one customer authorisation.
QuickBooks Online
Two-way sync of invoices, payments and customer records.
Dual pricing
Card price and lower cash or ACH price shown to the customer, moving processing cost off the P&L.
Client portal
A merchant-branded portal where customers pay everything at once and store methods.

Strengths and tradeoffs

Strengths

  • The widest collection toolkit in this group — invoices, text, email, WhatsApp, QR codes and payment links.
  • Dual pricing that can move the card cost off your P&L entirely, quoted either way so you can compare.
  • Instalments, late fees and early-payment discounts, which change behaviour rather than just recording it.
  • Two-way QuickBooks sync, so the ledger stays right without anyone re-keying.
  • Vertical builds that genuinely differ — the attorney workflow and the dental workflow are not the same product with a new logo.
  • Tokenised card-on-file for repeat and recurring work.

Tradeoffs

  • Not healthcare-specific in the way LQpay is — it will not post into a practice management system.
  • Dual pricing is a customer-experience decision as much as a financial one, and some client bases push back hard.
  • The breadth means a setup conversation; this is not something you switch on over lunch.
  • Smaller brand than the accounting-native tools, so fewer of your peers will have heard of it.
  • If you only need one thing — say, chasing overdue invoices — a narrower tool costs less.

Pricing

Platform subscription plus processing, or a dual-pricing programme where the cost shifts to the card-paying customer. Both structures are quotable — ask for both.

Pricing reflects what the vendor publishes or what we have seen quoted. Your actual terms depend on volume, card mix and what is negotiated — which is the part we do.

Vigilant's assessment

Our default answer for a business that invoices and waits. The dual-pricing option is the part worth modelling carefully: it can take card cost to nearly zero, and it can also irritate the customers you most want to keep. We will price it both ways and let the numbers decide.

How it compares

Three answers to the same problem — money you have earned but not collected. They differ in where they sit: alongside your invoicing, inside your accounting, or in front of the whole process.
