Square
The one you can start today, and the one you outgrow on price.
- Retail
- Restaurant
- Salon & spa
- Professional services
- Any business
An independent assessment. Vigilant can place Square, and is paid the same either way — which is why the drawbacks are on this page too.
What it is
Square is the fastest path from nothing to accepting cards. Free software, no application interview, a reader in the mail, and a genuinely good product across retail, restaurant, appointments and online. For a new business or a low-volume one, it is frequently the correct answer and we will tell you so.
The economics change with volume. Square's flat rate is simple and, above roughly $15,000–$25,000 a month depending on your card mix, simple stops being cheap. Interchange-plus pricing on the same volume usually wins, and the gap grows with debit-heavy and card-present businesses.
Square is also a closed system. Processing, software and hardware come as one; you cannot keep the POS and move the processing. That is fine until it isn't.
What changed lately
What people tend to believe about Square, and what is actually true now. Each line says when it changed and where that comes from.
What you think you know
Square is direct-only. You sign up yourself, and if something breaks there is nobody to call but Square.
What changed
Vigilant can place Square, support it, and negotiate the rate. That was not true for most of Square's life, and it is the single thing merchants are most surprised by.
What you think you know
Square is fine for a coffee counter, but too thin for a real full-service restaurant.
What changed
Square launched a dedicated Handheld for tableside ordering alongside a rebuilt Point of Sale app with seven industry modes, including Quick Service and Bar. The food and beverage product is a different proposition to the one people remember.
What you think you know
You manage menus separately for the counter, the website and every delivery app.
What changed
Multi-channel menu management pushes a price change or an 86'd dish across every ordering surface at once, and the kiosk and AI voice ordering arrived in the same release cycle.

Who it fits
Best for
New, seasonal, low-volume or mobile businesses. Markets, pop-ups, single-chair salons, food trucks, anyone who needs to be selling this week.
Probably not ideal for
Established businesses over roughly $20k/month in card volume, and anyone who wants processor independence or interchange-plus transparency.

Strengths and tradeoffs
Strengths
- Fastest path from nothing to accepting cards — no underwriting interview, no term, a reader in the post.
- Genuinely good vertical apps: Restaurants, Retail and Appointments each add real workflow on one account.
- Free online store, invoices and payment links included rather than upsold.
- Published, predictable pricing you can model on the back of an envelope.
- Payroll, loyalty, gift and banking on the same login, which suits an owner doing everything themselves.
- For low volume it is frequently the cheapest correct answer, and we tell people that.
Tradeoffs
- Flat rate stops being cheap somewhere around $15k–$25k a month depending on card mix — and nothing warns you.
- Closed system: processing, software and hardware come together, so you cannot keep the POS and move the rate.
- Account holds and reviews are handled largely without a human, which is painful when funds are frozen.
- No local rep. When a terminal dies on a Saturday, you are in a queue.
- Deep inventory and multi-location retail are not its strengths.
Pricing
Flat rate — simple, published, and the point at which it stops being the cheapest option is calculable. Bring us a statement and we will tell you which side of that line you are on. Sometimes the answer is stay.
Pricing reflects what the vendor publishes or what we have seen quoted. Your actual terms depend on volume, card mix and what is negotiated — which is the part we do.
Vigilant's assessment
We are not paid when you use Square and we still recommend it regularly. Under the crossover point, staying put is the right call and we will put that in writing. Over it, we will show you the arithmetic rather than the pitch — usually interchange-plus on the same volume.
How it compares
Same three, viewed from the other end: what happens as you grow. Square is the easiest start and the one people most often outgrow without noticing.
| Criterion | Clover App ecosystem, sold by everyone | Square Flat rate, instant start | Kurv Published rates and hardware prices |
|---|---|---|---|
| Best at | Growing into apps and form factors | Starting from zero, fast | A clean published rate on real volume |
| Cost at low volume | Depends on the reseller | Excellent — hard to beat | Good |
| Cost at $50k+/month | Good on interchange-plus, if priced properly | Usually the most expensive of the three | Competitive and published |
| Rate transparency | Opaque unless you make them show it | Fully published | Fully published |
| Can you keep the system and change processor? | No | No | No |
| Support model | Depends who sold it — ours is local | Queue and help centre | 24/7/365 |
| Hardware | Widest range | Good range, inexpensive | Three devices, two of them nearly free |
| Watch out for | Leases and plan tiers | Silently overpaying as you grow | Not an operations platform |
| Pick it when | You need apps and growth headroom | You are small, new or seasonal | You want the rate legible without a meeting |
Verdict. Stay on Square while you are under the crossover. Past it, the honest comparison is Kurv's published rate or interchange-plus on Clover — and if the arithmetic says stay, that is what our report will say.
