DepositFix
Take payments inside HubSpot without leaving the CRM.
- B2B
- Professional services
- Ecommerce
- Nonprofit
An independent assessment. Vigilant can place DepositFix, and is paid the same either way — which is why the drawbacks are on this page too.
What it is
If your business runs on HubSpot, the payment step is usually the one place the CRM stops. Quotes go out of HubSpot, payment happens in some other system, and the record of what was actually paid comes back by hand — or does not come back at all.
DepositFix closes that. Payments are collected inside HubSpot forms and workflows, subscriptions and recurring billing run against HubSpot records, and the payment data lands on the deal and contact so reporting and automation can act on it. It connects to Stripe, PayPal and other processors rather than forcing a new merchant account.
It is a narrow integration product and that is the whole point. If you do not run HubSpot, this is not for you.
Who it fits
Best for
Businesses running HubSpot as their CRM that want payments, subscriptions and donations captured against the same records.
Probably not ideal for
Anyone not on HubSpot. There is no reason to look further down this page.
Key capabilities
- Payments in HubSpot forms
- Collect payment inside the same form that captures the lead.
- Recurring billing
- Subscriptions billed against HubSpot contact and deal records.
- Workflow triggers
- Payment events drive HubSpot automation and reporting like any other property.
- Processor choice
- Works with Stripe, PayPal and others rather than requiring a new merchant account.
Strengths and tradeoffs
Strengths
- Takes payment inside HubSpot and similar CRMs, so the deal and the money live in the same place.
- Removes the gap between quote accepted and invoice paid, which is where B2B revenue stalls.
- Recurring billing and subscriptions supported for retainers.
- Light to implement — this is a targeted fix, not a platform migration.
- Works with your existing gateway, so the processing rate stays negotiable.
Tradeoffs
- Only worth it if your CRM is genuinely where your business runs.
- Narrow by design; it solves one step and nothing else.
- Reporting lives in the CRM rather than in a payments dashboard.
- Smaller vendor with a focused ecosystem.
- No use to a business that takes payment at a counter.
Pricing
Subscription by volume and feature tier, plus whatever your processor charges.
Pricing reflects what the vendor publishes or what we have seen quoted. Your actual terms depend on volume, card mix and what is negotiated — which is the part we do.
Vigilant's assessment
A narrow, honest tool. If your deals close in HubSpot and then wait days for an invoice to be paid, this closes that gap cheaply. If your CRM is not the centre of your business, skip it.
How it compares
This is not really a contest between products. It is a decision about where the payment record should live, and there are only three honest answers.
| Criterion | DepositFix Payments inside HubSpot | HubSpot's own payments Built into the CRM Not placed by Vigilant | Stripe, linked to HubSpot Processor plus integration Not placed by Vigilant | Billing outside the CRM Accounting or invoicing software Not placed by Vigilant |
|---|---|---|---|---|
| Where the payment record lives | On the HubSpot record, natively | On the HubSpot record, natively | In Stripe, mirrored into HubSpot | In your accounting system, not the CRM |
| What it costs you | A subscription plus processing | Processing, and the HubSpot tier that includes it | Processing plus whatever the integration costs | Nothing extra — you already have it |
| Breaks when | You leave HubSpot | You leave HubSpot | The integration drifts out of sync | Somebody has to reconcile two systems by hand |
| Placeable through Vigilant | Yes — a platform we work with | No | Yes — we place Stripe | n/a |
Verdict. The question is whether payments belong in the CRM at all. If your sales team lives in HubSpot and needs to see what was paid without opening another tab, keeping the record on the contact is worth paying for. If finance owns billing and sales only needs to know a deal closed, you are buying a subscription to avoid a reconciliation you were doing anyway. Ask which of those you are before comparing features.
